Service Agreement & Data Protection Contract

1. Acceptance of Terms & Service Scope

By creating an account or using QB-IRD Converter, you agree to be bound by these Terms & Conditions. QB-IRD Converter provides automated format transformation of QuickBooks Online sales invoices into Tax Invoices compliant with Sri Lanka Inland Revenue Department (IRD) Gazette Extraordinary No. 2481/22.


2. Data Privacy & Confidentiality Guarantee

We contractually pledge to safeguard all financial and company data processed through the platform:

  • Data Ownership: You retain exclusive ownership of all QuickBooks accounting records, customer details, and invoice data synced to the platform.
  • No Unauthorized Disclosure: We will not share, publish, sell, or disclose your corporate turnover or customer names to third parties, unless explicitly required by applicable law or a valid court subpoena.
  • Encryption Standards: Data in transit is protected using TLS 1.3 encryption; stored database records are secured with industry-standard access control lists.

3. Intuit QuickBooks Integration Rules

Your use of the QuickBooks API integration is governed by Intuit Developer policies:

  • Authorized Access: You warrant that you are an authorized owner, administrator, or representative of the QuickBooks Online company connected via OAuth 2.0.
  • Token Revocation: You may disconnect QB-IRD Converter at any time from your QuickBooks account settings. Upon disconnection, token refresh capability ceases immediately.

4. Account Approval & TIN Allowlist Policy

To maintain administrative control and prevent unauthorized tax invoice creation:

  • Connecting a QuickBooks company requires that your 9-digit Tax Identification Number (TIN) be explicitly approved on your account allowlist by a tenant administrator.
  • Each 9-digit TIN can only be bound to one active company instance at a time to preserve IRD serial sequence integrity.

5. Tax Compliance Disclaimer & Limitation of Liability

QB-IRD Converter is a software formatting utility. While we structure invoices strictly according to Gazette No. 2481/22 guidelines:

  • The user and company remain legally responsible for ensuring the accuracy of primary transaction data entered into QuickBooks Online, including correct customer TINs and VAT registration status.
  • QB-IRD Converter does not provide formal legal or tax advisory services; users should consult a qualified Sri Lankan chartered accountant or tax consultant for official IRD filings.
